What is medical coding?
Coding is the process of assigning standardized codes to diagnosis and procedures performed or identified by a physician. These standardized codes make it possible for health care providers to receive accurate and timely financial reimbursement from insurance companies and government programs such as Medicare.

Yes. We have AAPC and AHIMA certified and experienced coders.

Yes. We have a separate training department for medical coding.
How would you notify us about incomplete or missing information?
This will be coordinated with you on a day-to-day basis through fax, email, or phone.
How do I submit my dictations?
We offer digital handheld recorders that may be used to submit dictations. Additionally, dictations may be submitted over the phone via toll-free lines that are accessible 24 hours per day, 7 days per week.
How is my dictation processed?
When you sign up, you will be assigned to a Medical Transcription (MT) Group based on your specialty and estimated dictation load. When you submit a dictation to the system, your assigned MT Group will automatically receive your dictation for transcription. MT Groups consist of medical transcriptionists who are overseen by quality assurance (QA) supervisors. These QA supervisors, with more than 10 years of medical transcription experience, check each transcription for accuracy and release the transcription for online delivery.
How do I receive my transcriptions?
Transcriptions may be received in any format you wish-- even in multiple formats. You can, of course, pick up your transcriptions via your control screen on the Internet or you may request a facsimile or direct printout. When you sign up, you are given a login name and password that allows you to access your transcriptions on our website, http://www.medilexis.com. You can then view and print your transcriptions online or download them to your computer. From here, you can send the report to anyone via email or fax. This can be accessed from ANY computer that provides internet access!
Are dictated and transcribed reports available "on-line"?
Audio dictations can be accessed (listened to) for up to 21 days on-line. Once the dictation is transcribed (usually within 12 hours), the transcription remains available on-line absolutely free for as long as you are a MediLexis customer!
Can you use my normals?
We will be happy to incorporate any normals or canned phrases you may routinely use in your dictation.
How do I open the transcriptions I download?
The transcriptions are returned via the internet in an RTF (Rich Text Format) file or any format you like. This standard file type can be opened using virtually any word processing program, including Microsoft Word, WordPerfect, Lotus, etc.
How can I be sure that my transcriptions are secure on the Internet?
We give you the reliability of next day reporting (usually 12 hour turnaround time.) Any dictations sent to us prior to 9:00PM (EST) will be available for your viewing by 9:00AM the following day! You can also select turnaround times to meet your needs 48 hour, 24 hour, 4 hour and 2 hours. You may choose different default turnaround times by report type or you can specify that with each report.
What if I dictate over the weekend?
We have transcriptionists working 7 days a week. The turnaround time also applies to weekend dictations.
Does MediLexis provide dictation equipment?
Yes, we will arrange for and install an on-site, full-featured Dictation Capture Unit (DCU) at a small additional charge to our customers. The cost of the units is nominal, and we can arrange for these to be delivered or we can incorporate existing units if they are compatible. WE DO NOT CHARGE FOR INSTALLATION OR SETUP!
How much does the service cost?
We charge based on number of lines transcribed and turnaround time requested. The actual rates are truly cost-saving with MediLexis when compared to in-house or other outsourced agencies. We are able to pass these savings on (at least 30-50%) by our innovative use of transcription methods such as templates and informed workflow methodology. What constitutes a line of transcription?
We count a 65-character line where a character is defined as any letter, number or symbol necessary for the final appearance and content of a document, including the space bar. To fully understand this, take a transcribed document and open it in Word 97 or greater. Go to Tools, select Word Count and note the value shown next to "Characters (with spaces)" and divide this by 65.
Are there any other upfront capital fees?
NO.
What payment methods are available?
Payment can be made by credit card or bank draft. Billing is monthly with a net-15 day term.
How will I know how I have been billed?
From our website, you will be able to obtain an up-to-date line count on a daily basis by clicking on the Billing option. You will receive a detailed invoice and our Billing Department is always willing to answer your queries.
